The challenge, what changed, and what it took.

The same approach every time: name the bottleneck, improve the workflow, measure the result.

Representative engagements from our build library, with details anonymized to protect the businesses involved. Figures are intentionally omitted.

01Field service, HVAC

The dispatch board lived in the owner's head, and the owner wanted his evenings back.

The challenge

Every morning began with an hour of manual scheduling across crews, and every change rippled through the day by phone call. Jobs slipped, techs idled between sites, and nobody but the owner could run the board.

What we built

One place that holds the job pipeline: intake, scheduling, dispatch, and follow-up. It proposes each day's board from the rules the owner already carried in his head; a person reviews and approves it in minutes.

What changed

The morning hour became minutes, schedule changes stopped requiring the owner, and the board finally survived a vacation.

02Trades, plumbing

The work was profitable. The cash just arrived weeks late.

The challenge

Invoices went out days after jobs closed, and nobody owned the chase. Receivables drifted while everyone stayed busy on the next job.

What we built

Invoicing wired directly to job completion, with a polite, persistent follow-up sequence: reminders, statements, and escalation to a human at the right moment.

What changed

Invoices out the day the job closes. The follow-up happens every time, without anyone remembering it. The gap between work done and cash in hand shrank.

03Industrial, manufacturing

Every month closed with a spreadsheet scramble and a report nobody trusted.

The challenge

Job costs lived in three tools and two heads. By the time the numbers were assembled, the month was over and the margin leaks it revealed had already repeated.

What we built

One reporting spine over jobs, costs, and hours, fed continuously instead of assembled monthly. It flags margin drift while the job is still running.

What changed

The owner sees this week's numbers this week. Underpriced work gets caught mid-job.

04Local service, fire protection

Compliance deadlines ran the business, and the business ran on memory.

The challenge

Inspections, certifications, and renewal dates lived in a wall calendar and a veteran employee's memory. A missed date meant a lost contract.

What we built

Every deadline, site, and requirement tracked in one place, with the scheduling and customer notices around them handled. The veteran's knowledge was written down while he was still there to check it.

What changed

No date depends on memory. Customers get notified before they think to ask, and the business survived the retirement it was quietly afraid of.

05Construction, general contracting

The back office grew faster than the crews it existed to support.

The challenge

Each new project added coordination: submittals, change orders, vendor chases, status calls. Office headcount climbed while field productivity stayed flat.

What we built

A workflow that owns the paper trail: documents filed, vendors chased, status reported, change orders tracked from request to signature, with people approving the moments that matter.

What changed

The company took on more work without adding office payroll. Coordination stopped being a job title.
